F004 - Managing Department Funds

The Managing Department Funds class is designed for employees responsible for managing and viewing accounting details. In this class, participants will be provided with an understanding of the chart of accounts, how to view available balances, and how to view account activity in commitment control. Also, UTShare terminology and campus impacts will be covered during this course.

Recommended Prerequisite: UTShare Fundamentals (Note: Offered online only)

This class is designed for employees who are required to process requests for purchases of goods or services. In this class participants will learn how to search for a vendor, how to receive items, and how to create and manage a requisition. F002 - Payment Vouchers

This class is designed for employees who are required to process vouchers. In this class, participants will learn how to search for a vendor, create a non-purchase order voucher and create purchase order voucher. UTShare terminology and campus impacts will be covered during this session.

F006 - ProCard

This class is designed for employees who are required to process ProCard payments. In this class, participants will learn how to update and reconcile ProCard charges; as well as, how to maintain the ProCard Transaction Log. UTShare terminology and campus impacts will be covered during this course.

H002 - Timekeeper

This class is designed for employees who are required to maintain departmental time records. In this class, participants will learn how to enter time and absences for an employee (i.e. vacation, sick leave, etc.). UTShare terminology and campus impacts will be covered during this course.

H007 - Timekeeper Lab

Class Days:  Wednesday
The Timekeeper lab is offered to assist users with managing timesheets in a department. If you need assistance with your employee's timesheets (e.g. entering time or correcting a timesheet, etc.), bring your work and/or questions to the lab. A subject matter expert will be available to assist you.

Note: Participants may arrive any time during the lab session; but please plan accordingly and arrive no later than 15 minutes before the end of the session. Faculty and Staff with a registered vehicle (UTA Permit) must park in the reserved parking spaces at the Enterprise Development building. You may park east of the building in Lot 48 or south of the building in Lot F17.

This class is designed for employees responsible for managing travel requests and reimbursements. In this class, participants will learn how to process travel authorizations, cash advances, and expense reports. UTShare terminology and campus impacts will be covered during this course.

F009 - Financial Statements & the Reconciliation Process

This class is designed for employees responsible for reconciling the monthly Financial Statements (formerly known as the Statement of Accounts). It will provide an understanding of the statement and the responsibilities of the department. In this class, participants will learn how to generate the Financial Statement, how to read the report, and understand the information provided in the report. In addition, we will discuss the required support documentation and the necessary approvals for the statements.

Recommended Prerequisite: Managing Department Funds Class
Target Audience: Dept. Reconciler and Dept. Head

H005 - Position and Workforce Management

Class Days:  Thursday

Discussion will focus on position management, onboarding and workforce administration business processes. Topics include: creating a position, modifying a position, reclassifying a position, establishing funding, onboarding new employees (faculty, staff and students), including creating a new assignment, job data changes, additional pay, salary changes, employee separations and the related business impact changes.
